Primary Functions
• Oversee the appearance and maintenance of all HOA common property.
• Monitor compliance with the Protective Covenants for all properties within Taberna.
• Miscellaneous Facility Requirements

Common Property Requirements:

Maintenance of the common properties requires the establishment of contracts with landscape firms. Common Properties are divided into several sections for purposes of contracting necessary services.
All of the common areas around the front entrance, and extending along Taberna Way and Taberna Circle are included in a single contract. This contract includes all required maintenance to be completed on a regular schedule. In addition the contract includes seasonal work such as planting of annual flowers and the application of pine straw. Regular work is billed on a monthly basis directly to the accountants. Periodic work is contracted on a not to exceed basis and all invoices must be reviewed and approved by a committee member. Work such as weed control is done on an as-needed basis and invoiced at the time of the application.

A separate contract covers the mowing, weed control, etc. for the Park and this contract is direct billed on a monthly basis. The Park contract includes care of areas on Taberna Circle and maintenance of the common areas fronting Arbon Greens. Seasonal work similar to the entrance contract is included for the Arbon greens area.

An additional contract covers the areas leading into Taberna Landings. Regular maintenance and seasonal work are all covered in this contract in the same fashion as described for the main entrance.

An additional contract is issued for mowing of the berms along Emmen Road. This contract provides for mowing of these areas (11) times per year. Mowing schedules are controlled by a B&G Committee member.

Another contract is issued to cover mowing of numerous small parcels throughout Taberna that are the property of the HOA. These parcels are mowed (11) times per year on a schedule controlled by a B&G Committee member.

All of the above contracts are sent out for bids to multiple potential service providers on an annual basis. It has become common practice to request bids for one or two years to try to gain cost stability or advantages in the final contracts. Various Committee members take responsibility for obtaining the different bid packages. Bids are requested on such a schedule as to provide final costs for Board approval prior to finalizing the budget for the upcoming year. The full B&G Committee reviews all of the contract bids
of and selects the preferred bidder based on cost, previous service, and reputation. Final contracts are subject to approval of the HO A Board of Directors.

Empty lots within Taberna are required to be bush-hogged three times per year and have the front of the lots mowed each month that bush-hogging does not take place. A Committee member obtains multiple proposals for this work. These bids are submitted on a per lot basis for the front mowing and are based on acreage to be mowed for the bush-hogging services. The Committee sends letters to all lot owners advising them of the cost and providing the option for the lot owner to arrange this maintenance for themselves.

Protective Covenant Monitoring:

All members of the B&G Committee are assigned an area for monitoring compliance with the Protective Covenants. Around the first of each month, all properties within Taberna are visually inspected to assure no departures from appearance as required by the Covenants. Violations are reported to the appropriate HO A Board Member for follow-up action to achieve compliance. Forbidden signs are addressed by a phone call from a B&G Committee member.
Compliance with restrictions applicable to construction sites is the responsibility of the Architectural Control Committee and is not reviewed by the B&G Committee.

Miscellaneous Facility Requirements:

In addition to the generally ongoing and repetitive maintenance requirements outlined above, the B&G Committee also performs whatever functions may be required on a one time basis. This function could include such things as bridge maintenance, tree planting or removal, repair of storm damage, playground installation, and correction of drainage problems.

The Sub-Associations for Boleyn Creek, One Taberna Way, and Abbington Woods obtain their respective landscaping contracts, but are welcome to request advice or assistance from the B&G Committee.
